Cognolite Limited is the data controller for the Amy service. Contact: contact@cognolite.com.
2. Information we use
- Purchaser and recipient names, contact details, relationship, subscription and onboarding information.
- Recipient scheduling preferences, age group, gender and UK region or town where provided.
- Background and preferences you choose to provide, including interests, routines, important people and topics Amy should avoid.
- Call audio, transcripts, dates, duration, prompts and technical logs.
- Summaries, non-diagnostic wellbeing observations, patterns, confidence ratings, family updates and safeguarding notes created from the calls.
- Feedback and any health, wellbeing or other special-category information shared or inferred from conversations.
3. Why we use it and our lawful basis
We use information to administer subscriptions, onboard participants, schedule and personalise calls, operate Amy, create permission-led family updates, check quality and safety, and investigate technical problems.
Recording, transcription, conversational analysis and the processing of health, wellbeing or other special-category information for the Amy service are carried out only where the person receiving Amy's calls has given the relevant consent.
AI training and improvement is a separate, optional choice. If you opt in, Cognolite may use relevant call audio, transcripts, derived wellbeing information and feedback to train, test and improve Amy and the AI systems used by Cognolite and its specialist technology providers, including through authorised human review. You can use Amy without agreeing to this optional training use.
For account administration and subscription delivery we may rely on performance of a contract under Article 6(1)(b) UK GDPR. For processing covered by consent we rely on Article 6(1)(a). For health, wellbeing and other special-category information, we rely on explicit consent under Article 9(2)(a) UK GDPR.
4. Family sharing
Buying Amy for another person does not automatically give the purchaser access to that person's conversations. A family update is shared only where the person receiving Amy's calls has explicitly agreed to the named recipient and destination.
5. Who receives the information
- Authorised Cognolite personnel and contractors who need it to operate, support, evaluate or improve Amy.
- Providers of cloud storage and administration, voice AI and calling, transcription and analysis, hosting, payment processing, security and technical support.
- A nominated family update recipient only where the person receiving calls has agreed.
- A safeguarding service, healthcare professional or emergency service where agreed or necessary and lawful to address a serious safety concern.
6. Processing outside the United Kingdom
Some providers or their subprocessors may process information outside the United Kingdom. Where required, international transfers are protected through safeguards in our agreements with them.
7. How long we keep information
- Onboarding, demographic, contact and scheduling details: while the service is active and up to 12 months after it ends.
- Identifiable audio, transcripts, summaries, observations and feedback: up to 12 months after the service ends.
- Consent and withdrawal records: up to 12 months after the service ends.
- Irreversibly anonymised information: no fixed period.
8. Your rights and withdrawing consent
You may withdraw consent at any time by emailing contact@cognolite.com. If you withdraw service consent, we will stop future calls and future processing covered by that consent. If you withdraw only the optional AI-training consent, your Amy service can continue and we will stop future use of your data for that training purpose. Withdrawal does not affect processing carried out before withdrawal. You may also ask us to access, correct, erase or restrict your personal information, or provide it in a portable format where that right applies.
